How to apply quotas to distribution boxes

You can set storage quotas for distribution or shared mailboxes using the Exchange Admin Center (EAC) or Exchange PowerShell to control mailbox size, issue warnings, and prevent overuse. Using the Exchange Admin Center (EAC)Open EAC and navigate to Recipients > Mailboxes. Select the distribution or shared mailbox you want to configure and click Edit.

Go to the Mailbox Usage tab and select More options to display quota settings. Enable Customize the quota settings for this mailbox. Set the following limits: Issue warning at (GB): The mailbox owner receives a warning when this size is reached.

Ensure this value is at least 50% of the Prohibit send value. Prohibit send at (GB): Prevents sending new messages when the mailbox reaches this size. Prohibit send and receive at (GB): Blocks sending and receiving messages; incoming messages are returned to the sender.

Click Save to apply the changes. You can select multiple mailboxes using CTRL or SHIFT to apply quotas in bulk. Using Exchange PowerShellConnect to your Exchange environment (on-premises or Exchange Online).

To disable database quota inheritance and set a custom quota for a mailbox, run: PowershellCopySet-Mailbox -UseDatabaseQuotaDefaults $false -IssueWarningQuota -ProhibitSendQuota -ProhibitSendReceiveQuota Replace with the mailbox's email address or GUID, and with the desired quota in MB, GB, or KB. 3. To verify the quota settings: PowershellCopyGet-Mailbox | Select-Object DisplayName,IssueWarningQuota,ProhibitSendQuota,ProhibitSendReceiveQuota For Exchange Online, changes may take 2–3 hours to propagate, or you can force synchronization using: PowershellCopyUpdate-StoreMailboxState Notes and Best PracticesDatabase-level quotas apply to all mailboxes in a database.

Individual mailbox quotas override these defaults. Unlimited quotas can be set, but this may complicate storage management and backups. Monitoring: Regularly check mailbox sizes to ensure quotas are appropriate and adjust as needed.

Exchange Online: Quotas are often tied to the license type (e.g., 50 GB for standard, 100 GB for E3/E5). Individual mailbox quotas cannot be set beyond license limits. By following these steps, you can effectively manage storage for distribution boxes, prevent mailbox overgrowth, and maintain system performance.
